IP telephony for real estate agencies: mobility, WhatsApp and CRM

IP telephony for real estate agencies in Morocco: the office number on agents’ mobiles, WhatsApp in the phone system, the CRM record on every call, sales offices.

IP phones

The short answer: in a real estate agency, the phone exists first and foremost so that no buyer slips away. Calls come in while agents are on viewings, WhatsApp messages pile up on personal phones, and nobody knows who called back whom. Well-configured IP telephony solves all three problems: the agency number follows each agent on their mobile, WhatsApp is handled in the phone system like a call, and the prospect’s record opens in the CRM as soon as the phone rings. 3CX and Yeastar can both do this; everything depends on the edition chosen and the configuration.

At ALLSAFE SOLUTIONS, a 3CX partner and Yeastar certified partner, we install phone systems for agencies, developers and sales offices from Casablanca and across Morocco. Features quoted here come from vendor documentation; we do not give prices, which depend on concurrent calls, edition and handsets.

What costs sales on the phone

Before talking about hardware, look at how the agency loses contacts. The situations we see most often:

Situation Consequence
The agent is on a viewing, the call rings in an empty office The buyer calls the next agency on the listing portal
Each agent hands out their personal mobile number Contacts leave with them the day they leave the agency
WhatsApp enquiries land on a single phone No sharing, no tracking, late replies at weekends
No history of missed calls Nobody calls back, or two people call back the same prospect
The CRM is not linked to the phone Calls are not logged, follow-up relies on memory
A sales office opens for a new development A line installed in a rush, with no link to the agency

IP telephony does not replace sales organisation, but it gives everyone the right tools and gives management a complete view.

The agency number on agents’ mobiles

This is the feature that changes an agency’s daily life the most. Each agent installs the phone system’s app on their smartphone: the 3CX app for iOS and Android, or Linkus for Yeastar. They then receive agency calls wherever they are, and their outgoing calls show the agency number, not their personal number.

What this brings in practice:

  • A single number for buyers, the agency’s, published on listings and in the window.
  • Ring groups: an incoming call rings reception, then available agents, on desk phone or mobile.
  • Presence statuses: on a viewing, in a meeting, available. Calls are routed accordingly.
  • Shared history: received, missed and returned calls, visible to the branch manager.
  • Continuity when an agent leaves: their extension is reassigned, contacts stay with the agency.

With 3CX, the app is set up by scanning a QR code from the web client, and the Basic edition already covers mobile calling. Details are in our guide to the 3CX app on mobile, web and Windows.

WhatsApp in the phone system

In Morocco, a large share of first real estate contacts goes through WhatsApp: photos of a property, a viewing request, a floor plan. As long as these exchanges stay on a personal phone, the agency does not control them.

The answer is to connect the agency’s WhatsApp Business number to the phone system, through Meta’s WhatsApp Business Platform:

  • With 3CX, each message arrives in a queue like a call, with shared history, transfer between agents and a link to the CRM record. This feature requires the PRO edition or higher.
  • With Yeastar, the P-Series offers a WhatsApp channel, which requires the Enterprise or Ultimate plan according to Yeastar’s documentation.

Three conditions apply to both: a verified Meta Business account, a dedicated number removed from the standard WhatsApp app, and Meta-approved message templates to follow up with a customer beyond the free-reply window. Everything is detailed in WhatsApp Business in 3CX.

The prospect’s record on every call

Linking the phone to the CRM transforms sales follow-up. When a buyer calls, their record opens with the properties they are interested in; the call is logged automatically; one click on a number in the CRM places the call.

Point 3CX Yeastar P-Series
Edition required PRO or AI (Basic does not support CRMs) Enterprise or Ultimate plan
General-purpose CRMs Odoo (native integration), HubSpot, Salesforce, Dynamics 365, among others HubSpot, Salesforce, Zoho, Odoo, Pipedrive, Bitrix24, Dynamics 365, among others
Watch out for Numbers stored in international format (+212) For Odoo, Yeastar requires Odoo Online, Enterprise edition
Dedicated real estate software Through the 3CX CRM API, case by case Through the custom integration template, to be assessed

Many agencies use specialised real estate software rather than a general-purpose CRM. In that case the question is simple: does the software expose an API that can look up a contact by phone number? If so, an integration is possible; we test it during the audit before promising it. See 3CX CRM integration and Yeastar with CRMs and Teams.

Measuring where calls come from

A branch manager wants to know which listing portals, signs or campaigns actually generate calls. IP telephony makes this possible with dedicated numbers: a different number per portal, per new development or per campaign, all routed to the same agents. The call report then shows how many calls arrived on each number, how many were answered and how many went unanswered.

These extra numbers are obtained from the carrier, on the agency’s SIP trunk. Our guide SIP trunk: keep your business numbers explains how to connect them.

Several agencies and temporary sales offices

Agency networks and developers share a particular constraint: locations that open and close. With a single IP phone system, every agency and sales office connects over the internet:

  • Free call transfers between sites, since all extensions belong to the same phone system.
  • Short dialling between agencies and with head office.
  • Centralised reception possible at quiet times: one site answers for the others.
  • A sales office up and running quickly: IP phones or simple apps, a number dedicated to the development, the same call-handling rules as the agency.
  • A clean close-down: when sales end, the development’s number is redirected to the agency, nothing is lost.

The choice between a cloud-hosted phone system and on-premises equipment at head office mainly depends on the number of sites and the quality of their connections; we cover it in cloud or on-premises phone system.

Recording calls: useful, but regulated

Recording helps train new agents and check a commitment made over the phone. In Morocco, it falls under Law 09-08: a defined purpose, notification to the CNDP, informing callers and employees at the start of the call, and a justified retention period. The steps are covered in Morocco’s data protection law 09-08.

3CX or Yeastar for a real estate agency

Situation Our recommendation
Agency with heavy WhatsApp activity, several agents, Odoo or HubSpot CRM 3CX PRO edition
Agency network and sales offices, centralised management Hosted 3CX, or Yeastar Cloud Edition
Small agency wanting very simple administration and an on-site appliance Yeastar P-Series
Agency keeping analogue lines or a fax Yeastar or Grandstream UCM, with FXO ports

Both solutions are solid. For a broader comparison, read our guide to business IP phone systems in Morocco.

Mistakes we fix in agencies

  1. Personal numbers on listings: contacts leave with the agents.
  2. A phone system with no rule for missed calls: no organised call-back, no alert.
  3. WhatsApp left on one person’s phone, unreachable when they are away.
  4. A CRM linked but badly formatted numbers, which prevent caller recognition.
  5. Sales offices equipped separately, with no link to the agency’s phone system.
  6. Recording switched on without a CNDP filing or informing callers.

Checklist before choosing

  • Number of agents, agencies and planned sales offices.
  • Concurrent calls at peak times, especially on Saturdays.
  • Share of contacts arriving via WhatsApp, and an available WhatsApp Business number.
  • CRM or real estate software in use, and whether it has an API.
  • Numbers to keep, dedicated numbers to create per portal or development.
  • Need for recording and the Law 09-08 process.
  • Internet connection quality at each site.

Frequently asked questions

Can an agent on a viewing answer the agency number?

Yes. With the phone system’s mobile app (3CX on iOS and Android, Linkus for Yeastar), the agent receives agency calls on their smartphone and calls out showing the agency number, not their personal one. Calls stay in the phone system’s history even if the agent leaves the company.

Can buyers’ WhatsApp messages be received in the phone system?

Yes, by connecting the agency’s WhatsApp Business number to Meta’s platform. With 3CX, messages arrive in a queue just like calls. With Yeastar, the P-Series WhatsApp channel requires the Enterprise or Ultimate plan. The number must be removed from the standard WhatsApp app.

Does IP telephony integrate with our real estate CRM?

With general-purpose CRMs, yes: 3CX PRO or AI integrates with Odoo, HubSpot, Salesforce and Microsoft Dynamics 365, among others; Yeastar offers official integrations for many CRMs on the Enterprise or Ultimate plan. For dedicated real estate software, you need to check for an API and test it during the audit.

How do you equip a temporary sales office?

The sales office connects to the agency’s phone system over the internet: IP phones or apps, the same number or a number dedicated to the development, the same call-handling rules. When sales end, the phones are collected and the number’s calls are redirected to the agency, with no lost contacts.

Can we record calls with buyers?

Technically yes, with an edition that allows it. In Morocco, recording falls under Law 09-08: a defined purpose, notification to the CNDP, informing callers and employees at the start of the call, and a justified retention period.
